Our services have already reached more than 40,000 of the most disadvantaged people in Europe and despite some progress in the reform of the healthcare systems, many patients continue to be left without proper care at the end of life.  Hospices of Hope seeks to ensure that all our patients are given the best possible pain relief and holistic support for each day that they have left. Personal Assistant to the Fundraising and Resources Director
Location:
 The role is based at 11 High Street, Otford, Kent, TN14 5PG
Hours:  Full Time – Monday to Friday 9am until 5pm (37.5hours per week) but you may in the course of your work be required to attend meetings or events outside of these hours

Line Manager: Fundraising & Resources Director

Job Purpose:
The personal assistant will provide an administrative and secretarial service to the Fundraising and Resources Director (and other senior management when needed) in order to free the time of the director to focus on strategic tasks. The role will involve providing general day to day and administrative support including answering and sending out communication on behalf of the director. The personal assistant will act as a point of contact between the director and supporters as well as other staff members and suppliers.

Key Responsibilities:

Administrative:

  • Managing diaries and organising meetings and appointments
  • Taking minutes of meetings and typing documents
  • Booking and arranging travel, transport and accommodation for the director as well as overseas volunteers
  • Data input into our database (training on our database Harlequin will be provided)
  • Reminding the director of important tasks and deadlines
  • Typing, compiling and preparing reports, presentations and correspondence
  • Liaising with staff, suppliers, and supporters
  • Collating and filing expenses
  • Miscellaneous tasks

Fundraising:

  • Assisting the fundraising team with administrative tasks
  • Act as a point of contact between the fundraising director and the fundraising team
  • Participate with the team in trying to raise funds and identify potential sources of funding
    • Support charity initiatives, campaigns and events
    • Seek to raise the profile and increase awareness of the charity at all opportunities

Events/Overseas trips:

  • Assisting in the organising of events and conferences
  • Venue research, liaison and booking
  • Liaising with suppliers and supplying information to attendees
  • Assisting in the organisation of overseas trips including insight trips and children’s summer camps  

Person Specification:

You will be given training on all our areas of fundraising and communications as well as training on our fundraising database, Harlequin. 

We are seeking an enthusiastic, highly organised, and committed individual who has key time management skills as well as the ability to work under pressure and to deadlines. This role would suit someone who is flexible, highly organised, and a strong attention to detail.  In addition the ideal candidate would have the following qualities:

  • Excellent written and verbal communication and interpersonal skills (Essential)
  • Outstanding organisation, prioritising and planning skills (Essential)
  • The ability to multitask, manage workload and keep to deadlines
  • Excellent IT skills including Word, Excel, Outlook and PowerPoint (Essential)
  • Self-motivated, punctual, reliable, and able to maintain confidentiality.
  • Is a team player who will willingly carry out tasks from time to time that are not in the job description
  • The ability and willingness to take initiative
  • Experience in an office based role and/or personal assistant role (Ideal)
